St Mary’s TPO Minutes (Subject to Approval at Feb 8th meeting 5:00PM)

Wed, Jan 6, 2010

President Christine Stark called the meeting to order at 7:05 p.m. Mrs. Warfield led those in attendance (15 plus 4 officers) with a prayer. The Secretary’s Report was reviewed. A motion was made to accept the Secretary’s Report by Nancy Smith and seconded by Kristi Wright. Amanda Lauritsen gave the Treasurer’s Report. A motion was made to accept the Treasurer’s Report by Sue Ledford and seconded by Katie Wille.

Monsignor’s Report – None

Principal’s Report - Mrs. Warfield thanked everyone for saving box tops, Campbell’s soup labels, ink cartridges, etc. We recently received a $614 check for box tops that helped pay for our recent paper order of $800. Every bit helps!

Thank you to all SMS teachers. Eight of twenty-six Illinois State Scholars from PTHS were from St. Mary’s. Their St. Mary’s education gave them a solid foundation for high school. We are very proud of our St. Mary’s students.

Preparation for Catholic Schools Week, Dividends for Life, is underway. The teacher/staff luncheon is scheduled for Thursday Feb 4 (instead of Tuesday). Chaperones are needed from 12:20 to 12:45 on Thursday so teachers have a longer lunch. The open house will be Sunday, Jan 31 from 10:00 to noon which is different this year. K of C will also be hosting a breakfast at this time.

Spalding Scholarship Fund applications for 2010-2011school year are available. Students currently receiving a grant must reapply. The tuition and books fees will be lumped together as tuition allowing more scholarship funds to be awarded toward tuition.

Enrollment Management Committee- New brochure promoting SMS has been created by Karen Kuska, a power point presentation to have running during open houses/visits has been developed, a promotion called "Bearly" recruiting is being developed where 2-6th grade send cards to baptized members introducing them to St. Mary’s. School calendars are being inserted into the bulletins to promoting school activities to parish members. Web site changes are going to happen. The committee is looking for testimonials from former St. Mary’s students of how St. Mary’s benefited them. Consider giving a testimonial.

Yard signs promoting St. Mary’s Schools have been very effective and are being distributed. Signs were distributed after the meeting to those in attendance.

Livingston County Leadership Group will be visiting St. Mary’s. Mrs. Warfield created fact sheet required for this visit.

Strategic Planning Committee is reflecting the Diocesan guideline and preparing for the North Central Accreditation next year. The team will evaluate and set goals for the school. It is expensive to train members. There is no competition in Pontiac so it seems unnecessary to take on this expense.

There is a Diocesan-wide imitative to update Language Art curriculum to a curriculum called Backward Design. Language Arts is done for this year. Next year the Math curriculum will be updated.

A parishioner offered to donate Smart Boards to the school. After some investigation it was determined that Tech cards seem like the way to go. This is still being investigated.

Mrs. Warfield asked the TPO to sponsor an assembly. In previous years, money was obtained through Title 4, however this year Mr. Graham denied the request. A motion was made for the TPO to sponsor an assembly costing $450 to $650. The motion was brought to a vote and passed unanimously. The TPO will sponsor an assembly.

Commission Report - None

OLD BUSINESS

4-H Fair Booth – Christine Stark reported that there are no bills submitted from the 4-H fair yet.

Fall Family Fundraiser – Feedback from the Fall Family Fundraiser was not good. The quality of the products was very disappointing. Motion was made to drop the Fall Family Fundraiser and increase sale of Quick Draw tickets and the Terri Lynn Nut sale. The motion was brought to a vote and passed unanimously. The Fall Family Fundraiser will be discontinued and Quick Draw tickets and Terri Lynn Nut sales will be increased.

St. Mary’s Quick Draw – Next year the number of tickets each family will be asked to sell will be increased from 6 tickets to 10 tickets @ $20.00 each. With the discontinuation of the Fall Family Fundraiser, increasing Quick Draw ticket sales is necessary.

Terri Lynn Fundraiser – The nut fundraiser went very well. Goal was to make $1000.00 and the fundraiser made close to $2000.00. Kami and Heidi Gregory will chair this fundraiser next year.

NEW BUSINESS

CSW Family Dance – Mrs. Corrigan gave an update on the Catholic Schools Week Family Dance scheduled for Friday Jan 29th from 6:30 to 8:30pm. The theme this year is Wild Wild West. Games will be conducted every ½ hour such as hula hoop and limbo. Prizes will be issued for the best dressed family and class with most participation. Root beer floats, pop, water, candy will be served. No pizza this year. Lane Landstrom volunteered to DJ again this year. Two $25 gift certificates will be issued to Lane Landstrom for his services. Volunteers are needed to work 45 minute shifts. See Mrs. Corrigan to sign up. Quick Draw drawing will also be held the night of the dance.

Salad Luncheon – Sue Ledford gave an update on the March 3rd Salad Luncheon. Letters will go out at the end of the month to kindergarten families explaining participation in the salad luncheon. This worked out well last year with 100% participation from the kindergarten class. Mike LoPicccalo will do the meat again this year. 200 lbs of meat will be ordered this year, up from 171 lbs of meat last year. 8th Grade class will be asked to bring breads or muffins. Jean Smetzer is helping Sue this year, however due to her full time job her time is limited. More help is needed. This is Sue’s last year! A volunteer to help Sue this year could obtain the experience to chair the Salad Luncheon next year. Talk to Sue if you are interested.

Pizza Fundraiser– No report. To be revisited at the next meeting.

Quick Draw Drawing – The drawing for Solemnity of Mary Jan 1st was done at the meeting with LeAnn Dixon winning $150.

Charlotte Stock won the TPO Drawing of $20/$25 Scrip cards of her choice.

Mrs. Warfield led the closing prayer. A motion to adjourn was made by Tammy Johns and seconded by Charlotte Stock. The meeting concluded at 7:55PM. The next meeting is scheduled for Monday,

February 8th at 5:00PM.

Respectfully Submitted by,

Rita Curry, Secretary
